Job Title: Business Administrator to the Managing Director

About the Role

The Business Administrator to the Managing Director provides high-level administrative support, manages the MD's schedule, facilitates communication with internal and external stakeholders, and ensures the smooth operation of daily activities. A proactive, highly organized individual with excellent communication and problem-solving skills is required to support the MD in driving strategic vision.

Key Responsibilities:

  1. Administrative Support
    • Manage and maintain the MD's calendar, appointments, and meetings, ensuring efficient time management.
    • Prepare and edit correspondence, presentations, reports, and other documents for the MD.
    • Handle confidential information with discretion and ensure all documents are appropriately filed and organized.
  2. Communication & Coordination
    • Act as the primary point of contact between the MD and internal/external stakeholders.
    • Draft and respond to emails, letters, and inquiries on behalf of the MD.
    • Coordinate and communicate effectively with department heads, franchisees, and other business units.
  3. Project Management
    • Assist in planning and executing strategic projects and initiatives.
    • Monitor deadlines and progress of key projects, providing updates and reports to the MD.
    • Conduct research and compile data to support decision-making processes.
  4. Meeting Management
    • Schedule, organize, and prepare materials for meetings, including agenda preparation and minute-taking.
    • Follow up on action items to ensure tasks are completed on time.
  5. Travel Arrangements
    • Arrange and coordinate domestic and international travel for the MD, including flight bookings, accommodations, and itineraries.
    • Ensure all travel plans align with the MD's schedule and organizational priorities.
  6. Operational Support
    • Support the MD in managing and monitoring the implementation of CleanAce's ERP system and other operational tools.
    • Provide assistance in addressing operational challenges across branches and departments.
    • Act as a liaison between the MD and operational teams to ensure alignment with company objectives.
