- Job Summary
The Sales Operations Officer will support the Sales and Business Development team by managing end-to-end sales processes, including proposal development, RFP/RFQ responses, vendor registrations, quotations, documentation management, and coordination with internal teams. The role ensures operational efficiency, timely submissions, accurate documentation, and strong client engagement to drive business growth in the IT sector.
Key Responsibilities1. Proposal & Documentation Management
- Develop, write, and format high-quality proposals, tenders, and RFP/RFQ responses.
- Coordinate with technical, product, and finance teams to gather accurate content for submissions.
- Ensure proposals meet client specifications, compliance requirements, and submission deadlines.
- Maintain a repository of approved proposal templates, company profiles, case studies, and project references.
2. Vendor Registration & Compliance
- Complete vendor registration and onboarding processes with private organizations and government agencies.
- Track and maintain updated compliance documents (CAC, Tax, PENCOM, ITF, NSITF, insurer certificates, etc.).
- Follow up on renewals and ensure the company meets all vendor eligibility requirements.
3. Quotation & Pricing Support
- Prepare detailed quotations for products, software licenses, subscriptions, and IT solutions.
- Work with procurement and suppliers to obtain competitive pricing and availability.
- Support pricing analysis and ensure quotations reflect accurate costs, margins, and timelines.
4. Sales Operations & Coordination
- Support the sales pipeline by preparing sales presentations, demo schedules, and follow-up documentation.
- Track all incoming opportunities, bids, RFPs, and client communication.
- Assist the team with CRM updates, reports, forecast tracking, and sales documentation.
- Coordinate internal approvals and ensure smooth workflow across teams.
5. Market & Client Support
- Assist with research on clients, industries, trends, competitors, and technology offerings.
- Support relationship building by preparing client-specific materials and follow-up messages.
- Provide administrative and operational support for sales meetings, bid conferences, and vendor sessions.
Key Skills & Competencies
- Strong writing skills (proposal writing, technical writing, business communication).
- Good understanding of IT solutions, software, SaaS, hardware, and technology terminology.
- Excellent coordination, organization, and documentation skills.
- Attention to detail and ability to meet strict deadlines.
- Strong research and analytical skills.
- Proficiency in MS Office (Word, Excel, PowerPoint), Google Workspace, and CRM tools.
- Ability to work independently and collaboratively.
Qualifications & Experience
- Bachelor's degree in Business Administration, Marketing, Information Technology, or related field.
- 2–5 years experience in sales operations, business development support, or proposal writing—preferably in the IT industry.
- Experience handling RFPs, bids, vendor registration, and compliance processes.
- Knowledge of procurement portals and government bidding platforms is an added advantage.

- Reduction in bid errors and compliance issues.
- Support in revenue growth through improved proposal quality and win rates.
