Job Overview: We are seeking a highly organized, proactive, and professional Administrative & Executive Assistant to provide comprehensive support to our leadership team and ensure the smooth operation of our office. This dual-role position combines high-level executive support with general administrative duties, requiring exceptional multitasking abilities, discretion, and initiative. The ideal candidate will be a strategic partner who anticipates needs, solves problems proactively, and contributes to our company's efficiency and culture. Key Responsibilities:

  • Serve as the first point of contact for office visitors and phone inquiries
  • Screen and prioritize communications including emails, phone calls, and physical mail
  • Arrange detailed domestic and international travel itineraries, including flights, accommodations, and ground transportation
  • Prepare and edit correspondence, presentations, reports, and memos
  • Attend key meetings, take minutes, track action items, and ensure follow-up
  • Handle confidential information with absolute discretion and professionalism
  • Maintain office supplies inventory and place orders as needed
  • Coordinate office maintenance, equipment servicing, and vendor management
  • Assist with onboarding new employees and setting up workstations
  • Support event planning for company meetings, team gatherings, and client visits
  • Maintain organized physical and digital filing systems
  • Support other team members with administrative tasks as needed
  • Contribute to maintaining a positive, efficient office environment

Qualifications:

  • Bachelor's degree in Business Administration or English or related field
  • 3-5 years in an administrative support role, with at least 2 years supporting senior executives
  • Advanced skills in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Workspace; experience with collaboration tools (Slack, Zoom, Teams)
  • Exceptional written and verbal communication skills; professional phone presence
  • Outstanding time management and prioritization abilities; meticulous attention to detail
  • Proven ability to handle sensitive information confidentially
  • Proactive problem-solver who anticipates needs before being asked
  • Thrives in a fast-paced environment and manages changing priorities gracefully
  • High emotional intelligence; builds positive relationships at all levels
