Job Description
Create purchase requisition and procure goods and services based on an approved budget
Process purchase requisition on the purchasing system in line with Standard Operating Procedures
Maintain accurate records of procurement activities, including supplier information, contracts, and purchase orders.
Monitor inventory levels of medical supplies and equipment, and replenish stock as needed to ensure uninterrupted operations.
Perform research and communicate with vendors and suppliers to find the best goods and services for the organization.
Create a database of invoices, purchase orders, quote requests, vendor or supplier contracts, and update it as needed.
Collaborate with clinical team to understand their procurement needs and provide appropriate solutions.
Track and maintain the status of orders, and report any delivery issues to affected team leads.
Respond to emergency requests and expedite orders as needed.
Create monthly and annual purchase reports for management review.
Ensure all purchased goods and services are up to company standards and in compliance with relevant federal or state laws.
Maintain an updated knowledge of procurement best practices, market conditions, and product innovations.
Manage relationships with suppliers, fostering collaboration, addressing any issues, and seeking mutually beneficial solutions to challenges.
Performing all procurement activities including pre-qualification, negotiating, supplier agreements, preparation of contracts
Reconcile or resolve value discrepancies for audit purpose
Develop and maintain constructive and cooperative working relationships with colleagues and management
Other duties as assigned by Finance Manager, Medical Director or Board of Directors
Coordinate and oversee the end-to-end supply chain process, from procurement to delivery.
Arrange and coordinate transportation services for the delivery of medical supplies and other stocks as required.
Ensure compliance with transportation regulations and manage relationships with external logistics providers
Prepare and maintain accurate records of deliverables, inventory levels, and transportation activities
Optimize transportation routes to minimize costs and maximize efficiency.
Coordinate with different departments to ensure timely and accurate delivery of goods and services.
Ensure proper labeling, packaging, and handling of goods to prevent damage or loss
Ensure that respective expected time of arrivals are met.
Develop and implement safety policies and procedures that reduces workplace accidents
Scheduled maintenance of company vehicle
Communicate with carriers, suppliers, and customers to resolve issues and ensure smooth operations.
Conduct data analysis to identify areas for improvement and implement process enhancements.
Provide recommendations for cost-saving initiatives and operational optimization.
Other duties as assigned by Finance Manager, Medical Director or Board of Directors
