About the Role:We are seeking an exceptional Administrative Support Officer to join our team as a Front Desk & Admin Officer. This is an exciting opportunity for someone who thrives in a fast-paced environment and is passionate about delivering outstanding customer service.
The ideal candidate will be responsible for providing professional support to our organization, ensuring seamless operations, and maintaining a positive impression for our visitors and clients.
Main Responsibilities:- Welcoming guests, clients, and customers with a friendly demeanor and efficient check-in process.
- Providing accurate information, handling inquiries, and answering visitor questions in a professional manner.
- Handling incoming calls, directing them to relevant departments, and taking messages when required.
- Responding promptly to emails and correspondence while upholding high standards of professionalism.
- Scheduling appointments, confirming meetings, and managing room bookings in a timely and organized fashion.
- Maintaining accurate calendars for meetings and events to ensure seamless coordination.
- Assisting with general administrative tasks, including data entry, filing, document preparation, and other duties as assigned.
- Ensuring timely and accurate completion of all administrative-related tasks.
- Maintaining the reception area's cleanliness, organization, and presentation at all times.
- Monitoring office supplies and ensuring their availability as needed.
- Maintaining visitor logs, appointment records, and administrative activity reports with accuracy and attention to detail.
- Bachelor's Degree in Management Science or a related field.
- A minimum of 2 years of experience in a similar role, with a proven track record of delivering excellent results.
- Experience in the solar industry and customer support would be an added advantage.
- Strong verbal and written communication skills.
- Friendly and approachable demeanor with a focus on helping others.
- Ability to handle multiple tasks efficiently without compromising quality.
- Effective time management and organizational skills.
- Proficiency in Microsoft Office, email, and scheduling tools.
- Ability to resolve unexpected situations and issues effectively.
- Maintaining a professional appearance and demeanor at all times.
