Job Description

The Chief Administrative Specialist will play a pivotal role in supporting the company's growth and operational efficiency. Reporting to the Senior Management team, this individual will be responsible for implementing administrative strategies aligned with our organizational objectives.

Key Responsibilities:

  • Develop and execute comprehensive administrative plans to ensure seamless day-to-day operations.
  • Oversee recruitment processes to attract top talent, ensuring alignment with our business goals.
  • Manage employee onboarding and offboarding procedures to facilitate smooth transitions.
  • Maintain accurate and compliant employee records, adhering to relevant labour laws and regulations.
  • Coordinate employee leave, attendance, and payroll activities efficiently.
  • Facilitate performance management processes to drive employee engagement and productivity.
  • Address employee grievances and foster a positive work environment.
  • Plan and implement training programs to enhance staff skills and knowledge.
  • Ensure compliance with health, safety, and environmental policies, as well as organisational standards.

Administrative Functions:

  • Lead daily office operations to create a conducive work environment, promoting productivity and employee satisfaction.
  • Coordinate procurement and inventory of office supplies and equipment, ensuring optimal utilisation.
  • Oversee facility management, including maintenance and repairs, to maintain a safe and efficient workspace.
  • Organize meetings, events, and travel arrangements, leveraging technology to streamline processes.
  • Prepare and manage administrative budgets efficiently, ensuring effective resource allocation.
  • Maintain secure and organised filing systems, upholding confidentiality and data integrity.

Reporting and Compliance:

  • Compile regular HR and administrative reports to inform strategic decision-making.
  • Ensure adherence to regulatory requirements, maintaining accurate records and documentation.
  • Support internal audits and inspections related to HR and administration, addressing any findings or recommendations.

Requirements:

  • Profound understanding of best practices in HR and administration, with expertise in labour laws and regulations.
  • Exceptional interpersonal and communication skills, with the ability to build strong relationships with colleagues and stakeholders.
  • A proactive approach to planning and implementation, with a focus on driving business results.
  • Proficiency in HR systems, Microsoft Office Suite, and organisational tools, with a willingness to learn and adapt new technologies.
  • Strong problem-solving and time management abilities, with a capacity to prioritise tasks effectively.
  • Data-driven decision-making and reporting, with a focus on metrics and Key Performance Indicators (KPIs).
  • Familiarity with itinerary and meeting management tools, streamlining processes and enhancing productivity.
  • Ethical, professional, and detail-oriented, with a commitment to maintaining confidentiality and data security.
  • Ability to align administrative initiatives with business goals, driving strategic outcomes and growth.

Qualifications:

  • Bachelor's degree in Human Resources, Business Administration, or a related field, with a focus on administration and management.
  • A minimum of 3 years of experience in senior administrative roles, with a track record of delivering results-driven solutions.
