About the Role

This position involves overseeing day-to-day office operations, including managing office supplies, equipment, and facilities. The ideal candidate will ensure a clean and organized work environment that is conducive to productivity.

  • Office Management: Oversee the day-to-day operations of the office, ensuring everything runs smoothly and efficiently.
  • Administrative Support: Provide administrative support to senior management and other departments as needed, including scheduling meetings, managing calendars, and preparing reports and presentations.
  • Documentation and Record Keeping: Maintain accurate and up-to-date records of correspondence, contracts, and other important documents, ensuring proper filing and retrieval.
  • Communication: Serve as a point of contact for internal and external stakeholders, answering phone calls, responding to emails, and handling inquiries in a professional and timely manner.
  • Travel and Logistics: Coordinate travel arrangements for employees, including booking flights, accommodations, and transportation, as well as arranging logistics for meetings, conferences, and events.
  • Budget and Expense Management: Assist in budget preparation and monitor expenses, processing invoices, maintaining financial records, and reconciling expenses.
  • HR Support: Assist with HR-related tasks, such as maintaining employee records, onboarding new hires, and organizing employee engagement activities.
  • Compliance: Ensure compliance with company policies and procedures, assisting in preparing and maintaining documentation for audits and inspections.
Requirements

To be successful in this role, you will need:

  • A Bachelor's degree in Business Administration, Management, or a related field.
  • Proven experience in an administrative role, preferably in a fast-paced environment.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication skills, both verbal and written.
  • Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Attention to detail and accuracy in work.
  • The ability to handle confidential information with integrity and discretion.
  • Strong problem-solving skills and the ability to work independently and as part of a team.
