Job Summary
We're looking for an Event Project Manager to lead the end-to-end delivery of high-impact events—corporate conferences, product launches, executive retreats, destination events, and luxury galas. You'll own planning, execution, monitoring, and successful delivery within scope, timeline, and budget. The ideal candidate is organised, resourceful, detail-driven, and excellent at stakeholder management—capable of running multiple projects simultaneously while maintaining premium quality.
Key Responsibilities
1) Project Planning & Execution
• Lead the full life cycle of assigned events from ideation and scoping to live delivery and post-event wrap-up.
• Define scope, objectives, deliverables, schedules, budgets, run-of-show, and staffing plans tailored to each event type.
• Maintain rigorous documentation (project plans, trackers, status reports, logistics checklists, risk register, budgets).
• Coordinate site visits, technical rehearsals, and run-throughs to de-risk delivery.
• Ensure flawless on-site execution with clear command centre protocols and escalation paths.
2) Client & Stakeholder Management
• Serve as primary liaison to clients, internal teams, sponsors, and partners; translate briefs into executable project plans.
• Provide proactive, structured communications (agendas, minutes, RAID logs, weekly status) and set clear expectations.
• Uphold a premium client experience and brand-safe delivery across touchpoints.
3) Team Coordination
• Assemble and manage multidisciplinary teams (logistics, creative/design, production/AV, hospitality, security).
• Delegate tasks, clarify ownership, set SLAs, and drive accountability through stand-ups and check-ins.
• Foster a collaborative, solutions-oriented culture that thrives under pressure.
4) Vendor & Budget Management
• Source, brief, negotiate, and manage venues, production houses, caterers, décor specialists, entertainers, travel providers, etc.
• Track POs/invoices, control costs, and protect margins without compromising experience quality.
• Ensure contracts, permits, insurance, and compliance documents are complete and aligned to scope.
5) Risk, Compliance & HSE
• Maintain and action a live risk register; build contingencies for weather, technical, travel, and talent risks.
• Enforce international health, safety, and regulatory standards; lead incident response and debriefs.
• Manage issue escalation and crisis resolution during live events to protect guest experience and brand.
6) Reporting & Post-Event Analysis
• Run structured post-event evaluations (client/guest feedback, vendor performance, lessons learned).
• Complete financial reconciliation and margin analysis; close out contracts and archive all materials.
• Convert insights into SOP updates and playbooks for continuous improvement.
Key Requirements
• Bachelor's degree in Event/Project Management, Marketing, Hospitality, or related field.
• 4–6 years' project management experience delivering international/multi-location events (corporate, experiential, social, luxury).
• Proven track record managing high-profile budgets, complex vendors, and C-level stakeholders.
• Project management certification (PMP, PRINCE2, or similar) is an advantage.
Skills & Competencies
• Exceptional coordination, interpersonal, negotiation, and communication skills.
• Highly organised; able to manage multiple large-scale events concurrently with strict deadlines.
• Proficient with project and collaboration tools (Asana/Trello, MS Project, Google Workspace/Office 365; Airtable a plus).
• Strong financial literacy and cost control; confident with spreadsheets and reconciliations.
• High EQ, composure under pressure, and rapid problem-solving in live environments.
• Willingness to travel and work flexible hours, including evenings/weekends/public holidays when needed.
