Job Summary

The Procurement Assistant supports the procurement team in sourcing, purchasing, and managing inventory of beauty and cosmetic products, ensuring that all goods and supplies meet company standards for quality, price, and timely delivery. This role plays a key part in maintaining smooth retail operations and ensuring product availability across all stores.

Key Responsibilities

  • Purchase Coordination:
  • Assist in preparing purchase orders and obtaining necessary approvals before placing orders with suppliers and vendors.
  • Supplier Management: Maintain updated supplier and vendor lists; communicate regularly to confirm order details, negotiate pricing, and track deliveries.
  • Inventory Support: Monitor stock levels, forecast needs based on sales trends, and assist in replenishing fast-moving beauty products.
  • Quality and Compliance: Ensure all purchased products meet brand and regulatory standards for quality, labeling, and authenticity.
  • Documentation: Maintain accurate records of purchase orders, supplier invoices, delivery notes, and payment schedules.
  • Cost Control: Assist in comparing quotations, evaluating supplier performance, and identifying cost-saving opportunities without compromising quality.
  • Logistics & Delivery Coordination: Track shipments, follow up on late or incomplete deliveries, and work with the warehouse team to ensure timely receipt of goods.
  • Vendor Relations: Support the procurement officer in building and maintaining good relationships with beauty product distributors, local suppliers, and international brands.
  • Market Research: Conduct regular market surveys to identify new suppliers, trends, and competitive pricing in the beauty industry.
  • Reporting: Prepare weekly or monthly procurement reports for management review, including order status and supplier performance.

Qualifications

  • Education: Bachelor's degree or HND in Business Administration, Supply Chain Management, Procurement, or related field.
  • Experience: Minimum of 1–2 years' experience in procurement, preferably in the retail or beauty/cosmetics sector.

Skills:

  • Strong negotiation and communication skills
  • Excellent organizational and record-keeping ability
  • Good understanding of inventory and stock management
  • Proficiency in Microsoft Excel and procurement software
  • Attention to detail and accuracy
  • Ability to work under pressure and meet deadlines
