Executive Assistant to the Senior Partner/CEO

Summary: Provide high-level administrative support to the Senior Partner/CEO, coordinating calendars, events, and travel arrangements, while maintaining confidentiality and discretion.

The Executive Assistant will report directly to the Senior Partner/CEO and provide executive, administrative, and strategic support to their office. Key responsibilities include:

  • Calendar management: Coordinate the Senior Partner's meeting schedule, including international participants, and manage related correspondence, meeting details, and logistics.
  • Events: Coordinate events and executive meetings, providing project management, budget management, space requirements, IT coordination, and other support as needed.
  • Board Preparation: Prepare and manage communication, materials, and documentation for Partnership meetings, schedule board meetings, and ensure all documentation is sent to Partners ahead of time.
  • Meeting Support: Attend meetings with the Senior Partner, take minutes, and proof-read communication going out of the office.
  • Email Management: Handle the Partnership's official email communication.
  • Office Support: Provide backup support as needed and coordinate phone and vacation coverage as part of the Business Services team.
  • Travel Coordination: Coordinate the Senior Partner's travel itineraries and related meetings, including international travel.
  • Research: Conduct research on property/real estate market and assemble materials needed for proposals, wealth reports/publications, and paper presentations.
  • Office Supplies: Coordinate the replenishment of the Senior Partner's office supplies, including stationery and refreshments.

Professional Experience and Personal Skills Profile

Qualifications/Education Required:

  • 1st degree in Estate Management, Accounting, or Mass Communication (Minimum of 2nd class lower or its equivalent)
  • Member of relevant professional body in area of discipline
  • Minimum of 6-7 years' experience in similar role
  • Experience in real estate industry is a plus
  • Research experience is key
