As an Office Assistant, you will play a vital role in ensuring the smooth day-to-day operation of our office.
Key Responsibilities- Maintaining Office Environment: Maintain a clean and organized office space, meeting rooms, and common areas at all times.
- Organizational Tasks: Ensure the office layout and organization are well-maintained, including replenishing supplies and arranging furniture as needed.
- Maintenance Coordination: Oversee maintenance needs and coordinate with relevant personnel to handle repairs or adjustments.
- Provide administrative assistance to the Admin Officer in various tasks, including assisting with fleet management, arranging meeting schedules, and organizing office events.
- Support general office administrative tasks, including expense tracking, organizing office files, and responding to inquiries.
- Monitor office supplies, including stationery, kitchen supplies, and cleaning materials, and place orders as required to maintain stock levels.
- Coordinate with vendors to ensure timely and accurate delivery of supplies, handle invoices, and maintain records of purchases and deliveries.
- Assist with the preparation of office documents and filing.
- Help with photocopying, scanning, and data entry as needed to support administrative activities.
- Greet visitors, vendors, and clients professionally and direct them to the appropriate personnel and departments promptly.
- Run necessary office errands, including collecting and delivering documents, handling bank deposits, and other tasks as required to support efficient office operations.
- Ensure compliance with office health and safety policies and perform periodic checks to maintain a safe environment for staff and visitors.
