Job Summary

We are seeking a highly organized and detail-oriented Office Assistant to join our team. The successful candidate will be responsible for maintaining a clean, organized, and welcoming office environment at all times.

Key Responsibilities
  • Maintain the office space, meeting rooms, and common areas in a clean and organized state.
  • Ensure the office layout and organization are well-maintained, including replenishing supplies and arranging furniture as needed.
  • Oversee maintenance needs and coordinate with relevant personnel to handle repairs or adjustments.
Administrative Support
  • Provide administrative assistance to the Admin Officer in various tasks, including assisting with fleet management, arranging meeting schedules, and organizing office events.
  • Support general office administrative tasks, including expense tracking, organizing office files, and responding to inquiries.
Inventory Management
  • Monitor office supplies, including stationery, kitchen supplies, and cleaning materials, and place orders as required to maintain stock levels.
  • Coordinate with vendors to ensure timely and accurate delivery of supplies, handle invoices, and maintain records of purchases and deliveries.
Clerical and Document Support
  • Assist with the preparation of office documents and filing.
  • Help with photocopying, scanning, and data entry as needed to support administrative activities.
Visitor Coordination
  • Greet visitors, vendors, and clients professionally and direct them to the appropriate personnel and departments promptly.
Running Errands
  • Run necessary office errands, including collecting and delivering documents, handling bank deposits, and other tasks as required to support efficient office operations.
Health, Safety, and Cleanliness
  • Ensure compliance with office health and safety policies and perform periodic checks to maintain a safe environment for staff and visitors.
